Stock Validation Before Sale

Block sales that would oversell stock

If a cashier tries to sell more than what's in stock, Wiseventory blocks the sale (or warns, configurable). Prevents the awkward 'we don't have it' moment after the customer paid.

What do you get out of it?

You cannot sell what you do not have. Stock is checked as the line goes on the bill, so the count on the screen stays the count on the shelf and your reports keep meaning something.

How does it work?

  1. 1

The check happens as you bill

Adding a line tests the quantity against the stock held for that variant. If it is short, the sale is stopped there rather than going through and quietly leaving the count negative.

  2. 2

It is per variant, not per product

Selling the last medium does not borrow from the larges. Each variant carries its own current stock and is validated on its own.

  3. 3

Stock moves as the bill completes

The deduction happens with the sale, so the next scan of the same item sees the reduced figure — including on another cashier's phone.

  4. 4

Two counters cannot oversell the same unit

Because stock lives in your account rather than on a handset, two people billing at once are working from the same figure.

What situations does it handle?

The shelf disagrees with the screen

Adjust the stock and carry on. An adjustment is a recorded event, so the difference is visible later rather than absorbed silently.

Selling something you have just received

Receive it against the purchase order first and the stock is there to sell. That single habit keeps the count honest.

A batch-tracked item

The check runs against the batch you are selling from, so a batch that is finished cannot be billed even when other batches of the same product remain.

How do you get more out of it?

  • Fix mismatches when you notice them rather than at month end — a small correction today is easier to explain than a large one in four weeks.
  • Receive stock as it arrives, not when you get time. Everything downstream depends on that one step being current.
  • Use the low-stock list before the market run so you are buying against a figure the counter trusts.

Common questions

Does it stop me selling out-of-stock items?

Yes. Stock is validated as the line is added to the bill, so a sale that would take the count below what you hold is stopped at the counter rather than going through and leaving stock negative.

Is stock checked per size or per product?

Per variant. Each size, colour or pack has its own stock figure and is validated independently, so selling one does not affect another.

Can two staff members oversell the same item?

No. Stock lives in your account rather than on the device, so both counters read and reduce the same figure in real time.
