What do you get out of it?
You stop writing off stock you forgot about. Every unit you receive carries the batch number and expiry date it arrived with, so at any moment you can see what is close to expiring and shift it before it becomes a loss. When a supplier issues a recall, you can tell which batch you took, how much of it you sold, and to whom.

Record the batch when goods arrive
As you receive a purchase order, each line is entered with its batch number and expiry date rather than as a loose quantity. Two deliveries of the same product stay separate — same item, different batches, tracked independently.

Pick the batch at billing time
When the product goes on a bill, you choose which batch it comes from. Stock is deducted from that batch, not from a single pooled number, so the remaining quantity per batch stays accurate without a stock-take.

The batch stays on the invoice
The batch number and expiry travel onto the invoice line, which is what a pharmacy inspection or a customer complaint actually needs. You can look up any past bill and see exactly which batch left the shop.

What situations does it handle?
Same product, two batches, different cost
Batches are held as separate stock records, each with its own quantity. Buying the same item again at a different price does not overwrite the older batch or average the two together.
Returns go back to their own batch
A returned item is restored against the batch it was sold from, so a return does not silently inflate the wrong batch's count or resurrect stock that has already expired.
Batch and warranty side by side
The same receiving flow captures a warranty end date alongside batch and expiry. A dealer selling both perishables and warrantied goods runs one process, not two.
How do you get more out of it?
- Turn batch tracking on only for the categories that need it — medicines, dairy, packaged food, cosmetics. Staples sold loose stay quicker to bill without it.
- Enter the batch number exactly as printed on the carton. When a supplier issues a recall they will quote that string, and matching it instantly is the whole payoff.
- Make a habit of scanning your batch list once a week. Because each batch carries its own date, the ones worth discounting stand out in a few seconds.

Common questions
Do I have to track batches for every product?
No, and you should not. Batch tracking is enabled per product, so it makes sense for medicines, packaged food, dairy and cosmetics, while staples sold loose stay on simple quantity tracking. Mixing the two in one shop is normal and supported.
What happens if I sell from the wrong batch by mistake?
Correct the entry on the invoice. Because each batch holds its own quantity rather than feeding one pooled number, fixing one batch leaves the others untouched — so a correction stays a correction instead of throwing your whole stock count out.
Can I see which customer received a specific batch?
Yes, provided the sale was billed to a customer rather than a walk-in. The batch is stored on the invoice line, so you can trace a batch back to the invoices it appeared on and to the customers on those invoices — which is what a recall or a quality complaint requires.
Does this work on a phone?
Yes. Receiving stock and selecting a batch at billing both work on a phone, which matters because most Indian retail counters are not running a desktop PC.
